TERMS AND CONDITIONS OF THE ONLINE STORE

§ 1

GENERAL PROVISIONS

  1. The store operating at payment.medren2026.uw.edu.pl functions under the terms set out in these Terms and Conditions.
  2. These Terms and Conditions define the rules for concluding and terminating Product Sales Agreements, the complaint procedure, as well as the types and scope of services provided electronically by the store payment.medren2026.uw.edu.pl, the rules for providing these services, and the conditions for concluding and terminating agreements for the provision of electronic services.
  3. Each Service Recipient, upon taking steps to use the Electronic Services of the store payment.medren2026.uw.edu.pl, is obliged to comply with the provisions of these Terms and Conditions.
  4. In matters not regulated herein, the following legal acts shall apply:
    • the Act on Providing Services by Electronic Means of 18 July 2002,
    • the Consumer Rights Act of 30 May 2014,
    • the Act on Out-of-Court Consumer Dispute Resolution of 23 September 2016,
    • the Civil Code Act of 23 April 1964,
  5. and other relevant provisions of Polish law.

§ 2

DEFINITIONS

  1. ORDER FORM – a form available on the website payment.medren2026.uw.edu.pl enabling the placement of an Order.
  2. CLIENT – a Service Recipient who intends to conclude or has concluded a Sales Agreement with the Seller.
  3. CONSUMER – a natural person performing a legal act with an entrepreneur that is not directly related to their business or professional activity.
  4. ENTREPRENEUR – a natural person, legal person, or organizational unit without legal personality, granted legal capacity by law, conducting business or professional activity in their own name.
  5. PRODUCT – a movable item available in the Store which is the subject of a Sales Agreement between the Client and the Seller.
  6. TERMS AND CONDITIONS – these Terms and Conditions of the Store.
  7. STORE – the online store operated by the Service Provider at payment.medren2026.uw.edu.pl.
  8. SELLER / SERVICE PROVIDER – University of Warsaw, ul. Krakowskie Przedmieście 26/28, 00-927 Warsaw, Poland, VAT ID (NIP): 5250011266, REGON: 000001258.
  9. SALES AGREEMENT – a Product Sales Agreement concluded between the Client and the Seller via the Store.
  10. ORDER – a declaration of intent by the Client constituting an offer to conclude a Sales Agreement with the Seller.
  11. PRICE – the amount expressed in monetary units that the Client is obliged to pay the Seller for the Product.

§ 3

INFORMATION ABOUT PRODUCTS AND ORDERING

  1. The store payment.medren2026.uw.edu.pl sells Products via the Internet.
  2. Products offered in the Store are new, compliant with the agreement, and have been legally introduced to the Polish market.
  3. Information presented on the Store’s website does not constitute an offer within the meaning of the law. By placing an Order, the Client submits an offer to purchase a specific Product under the conditions described therein.
  4. The Product price displayed on the Store’s website is given in Polish zloty (PLN) and includes all components. The price does not include delivery costs.
  5. Orders may be placed via the website using the Order Form – 24 hours a day, throughout the year.
  6. To place an Order, the Client must read and accept these Terms and Conditions during the ordering process.

§ 4

CONCLUSION OF THE SALES AGREEMENT

  1. To conclude a Sales Agreement, the Client must first place an Order in accordance with § 3 points 5 and 6.
  2. After placing an Order, the Seller immediately confirms its receipt.
  3. Confirmation of receipt binds the Client to the Order. Confirmation is sent via email.
  4. The confirmation email includes:
    • confirmation of all essential elements of the Order,
    • a withdrawal form,
    • these Terms and Conditions including information on the right of withdrawal.
  5. The Sales Agreement is concluded upon receipt of the confirmation email by the Client.
  6. Each Sales Agreement is confirmed by proof of purchase attached to the Product.

§ 5

PAYMENT METHODS

  1. The Seller provides the following payment methods:
    • electronic payment system.
  2. For electronic payments, the Client makes payment before the Order is processed. The system allows payment by credit card or fast transfer from selected Polish banks.
  3. The Client is obliged to pay within 3 business days from concluding the Sales Agreement, unless stated otherwise.
  4. The Product will be shipped only after payment is received.

§ 6

DELIVERY COSTS, TIME AND METHODS

  1. Delivery of the product is via email.
  2. Delivery time consists of:
    • order processing time: 3 business days,
    • delivery time: 3 business days from dispatch (business days only).

§ 7

COMPLAINTS

  1. The Products offered in the Store constitute conference registration and participation fees for the International Medieval and Renaissance Music Conference (MedRen Warsaw 2026).
  2. In the event of technical problems, payment issues, or questions regarding registration, Clients are requested to contact the Organizing Committee at: medren2026@uw.edu.pl.
  3. Complaints related to electronic payment processing or registration services may be submitted:
  4. by email: medren2026@uw.edu.pl
  5. in writing: University of Warsaw, ul. Krakowskie Przedmieście 26/28, 00-927 Warsaw, Poland
  6. The complaint should include a description of the issue, the date of occurrence, and the Client’s contact details.
  7. The Seller will respond to complaints without undue delay, no later than within 14 days of receipt.

§ 8

RIGHT OF WITHDRAWAL

  1. In accordance with applicable consumer protection regulations, a Consumer who concluded a distance contract may withdraw from the agreement within 14 days without providing any reason.
  2. To exercise the right of withdrawal, the Consumer should contact the Seller by email at: medren2026@uw.edu.pl.
  3. After the expiry of the statutory 14-day withdrawal period, conference registration fees are non-refundable. This applies in particular to cancellations of participation, regardless of the reason for withdrawal.
  4. In the event of questions or difficulties related to registration or payment, participants are kindly requested to contact the Organizing Committee at medren2026@uw.edu.pl.

§ 9

ELECTRONIC SERVICES

  1. The Store provides electronic services enabling the conclusion of Sales Agreements.
  2. These services are provided under these Terms and Conditions.
  3. The Service Provider may include advertising content on the website.

§ 10

CONDITIONS FOR ELECTRONIC SERVICES

  1. Electronic services are provided free of charge.
  2. The agreement is concluded for a fixed term and ends upon placing an Order.
  3. Technical requirements:
    • internet access,
    • email access,
    • web browser,
    • enabled cookies and JavaScript.
  4. The Client must use the Store lawfully and provide accurate data.

§ 11

COMPLAINTS REGARDING ELECTRONIC SERVICES

  1. Complaints may be submitted via email: medren2026@uw.edu.pl.
  2. They should include details of the issue and contact information.
  3. The Seller will respond within 14 days.

§ 12

FINAL PROVISIONS

  1. Agreements concluded via the Store are governed by Polish law.
  2. Any disputes shall first be resolved amicably.
  3. If not possible, disputes will be settled by competent courts.
  4. Consumers may also use out-of-court dispute resolution methods, including:
  5. Free assistance is available from consumer protection institutions.
